We are looking for:

Business Administrator

Responsibilities

1. Travel & Logistics Management
● End-to-End Travel Coordination: Manage business travel from initial cost estimates and agency inquiries to itinerary planning, document dispatch, and communication with travelers.
● Expense & Financial Tracking: Handle post-travel cost calculations, reconcile invoices with vendors/hotels, procure missing documentation, and manage
monthly petty cash reports.
● Hospitality & Events: Lead the organization of business visits (internal and international), including guest registration, catering, hospitality, and on-site activity coordination.

2. HR Operations & Administration
● Employee Lifecycle Support: Execute administrative Business Administration steps for onboarding and departing processes.
● HR Documentation: Act as a back-up for drafting labor-law documentation, issuing employment certificates, and managing employee administrative requests.
● Data Maintenance: Update internal databases and maintain records for employee absences.

3. Office Operations & Procurement
● Internal Procedures: Maintain and update the Business Administration Handbook and standard operating procedures.
● Logistics & Customs: Handle inbound customs clearance for goods as needed.

4. Front Office & Communication
● Office Representation: Welcome customers, business partners, and visitors; manage incoming/outgoing mail and official correspondence.
● Inquiry Management: Respond to direct and telephone inquiries, monitor the general company inbox and schedule requested meetings.
● Communication Flow: Draft business emails, fill in various forms/tables, and promptly forward necessary information to supervisors, clients, and co-workers.
● Team Support: Act as a deputy to other Business Administration team members during their absence to ensure continuity of operations.

About you

● At least 2 years of working experience in a similar position
● Proficient in written and spoken English (other languages are advantage)
● Exceptional organizational skills (e.g. reminders, tasks, calendar, emails, chat, etc.)
● Excellent written and verbal communication skills
● Problem-solving skills with a Can Do mindset
● Efficiency in multi task completion with proven skills in task management
● Understanding well how to manage task prioritization in situations where new tasks were assigned
● Strong computer skills (fast typer, excellent usage of Microsoft Office or Google Workspace (Gmail, Sheets, Docs) suite, keyboard shortcuts, etc.)
● Proactive
● Ability to handle confidential information
